Event sign-ups, forms, and capacity
Choose how members take part in an event — open, a simple RSVP, or registration forms — attach required and optional forms, and set a capacity limit that's enforced automatically.
When you create an event you decide how people take part. Open the event editor's How do people attend? card and pick one of three modes.
The three attendance modes
- Open — no sign-up. The event just appears on the calendar; members can add it to their calendar and share it. Use this for anything everyone's welcome to.
- RSVP — a simple headcount. Members tap Going, Maybe, or Can't go (shown as "Can't make it" on some screens) and can change their answer anytime. No forms involved.
- Registration form — members complete one or more forms to reserve a spot. Use this when you need details (camper info, a waiver, dietary needs).
You can switch an event's mode later — but be careful: switching away from Registration form detaches every attached form and permanently deletes every response already submitted to them. There's no undo, so export the responses first (see Viewing and exporting form responses). Psalmly asks you to confirm, and tells you how many responses it will destroy. The forms themselves stay in your library.
Repeating RSVP events
When an RSVP event repeats, an RSVP applies to choice appears: The whole series (the default — one answer covers every date) or Each occurrence (members answer for each date on its own, and capacity counts per date). Changing this later clears the event's existing RSVPs, so Psalmly confirms with you first.
Attaching registration forms
With Registration form selected, an attach panel appears. You can:
- Attach a form from your Forms library — the same form (a reusable waiver, say) can be attached to many events.
- Create a new form inline without leaving the editor.
- Reorder the attached forms by dragging — that's the order members see them in.
- Attach several forms to one event (e.g. a waiver and a details form).
- Remove a form with the × on its row. Careful — removing an attached form also permanently deletes every response submitted to it for this event, and it happens as soon as you save, without a confirmation. Export first if you need the answers.
Required vs optional
Each attached form has a Required / Optional toggle:
- Required forms gate the spot — a member isn't registered until every required form is complete.
- Optional forms can be filled anytime and don't block registration.
A member's registration is considered complete once they've finished all the required forms. At least one form must be Required for registration — and capacity — to mean anything: if every attached form is Optional, nobody is ever counted as registered and the capacity limit does nothing. Setting a capacity limit
For RSVP and Registration form events, a Capacity field lets you cap sign-ups. Leave it blank for unlimited.
Capacity is enforced automatically — once an event is full, further sign-ups are blocked:
- On an RSVP event, capacity counts the people marked Going (Maybe and Can't make it don't take a spot). When full, members can't newly mark Going.
- On a registration event, capacity counts members who've completed all required forms. When full, registration closes for new people.
A few things worth knowing:
- There's no waitlist yet — full simply means closed to new sign-ups.
- Lowering a capacity below the current count never removes anyone who's already signed up; it just stops new ones.
- Someone who already holds a spot is never blocked — they can still change their RSVP or edit their forms.
- Capacity is per event by default — on a repeating series the limit covers the whole series, so it's best suited to one-off or multi-day events (camps, dinners, retreats). The one exception: a repeating RSVP event set to Each occurrence applies the limit to each date (20 spots every week, not 20 for the run). Registration-form events are always series-wide.
- Cancelling an event closes its sign-ups right away, whatever the capacity — its RSVP and registration buttons are replaced with a "this event was cancelled" note. See Scheduling events for how cancelling (and restoring) works.
Keeping an eye on sign-ups
Open an event's detail page to see an at-a-glance count — how many are going or registered, with a progress bar and a Full badge against the capacity when one's set. For form events, each attached form also shows its response count. To read and export the actual submissions, see Viewing and exporting form responses.
On an RSVP event you also get Who's coming — the full list of names, filterable by Going / Maybe / Can't go and searchable, with an Export CSV button for a printable checklist. On a repeating per-date event, a picker lets you switch weeks.
