How to keep your church's important files safe and central — bylaws, the 501(c)(3) letter, insurance certificates, the lease, board minutes, and policies. Uploading and organizing, renewal-date reminders, replacing or deleting files, and who can see them.
Every church has a handful of files it can never lose — the bylaws, the 501(c)(3) letter, insurance certificates, the building lease, board minutes, key policies. Documents is where you keep them: safe, central, and easy to hand to a new treasurer or a board member. You'll find it under Documents in the admin sidebar. It's admin-only and free on every plan.
It's a tidy shelf, not filing software — a simple list with a few sensible categories, not folders-within-folders to maintain.
Uploading a file
Click Upload, choose a file, and give it a moment of care:
- File — PDFs, Word and Excel files, PowerPoint, images, or text, up to 25 MB each.
- Title — what it is, in plain words ("2026 Liability Insurance", "Bylaws — amended 2025").
- Category — one of Governing, Financial, Insurance, Facilities, Policies, Minutes, or Other, so related files sit together.
- Description — optional, for any context ("signed original in the office safe").
- Renewal date — optional but powerful; see below.
- Pin — keep the ones you reach for most at the top.
Renewal reminders
Some documents expire — insurance, licenses, a lease term. Give those a renewal date, and Psalmly watches it for you: the file is flagged "expiring soon" as the date nears (within about two months) and "expired" once it passes, with a heads-up on the page. It turns "I hope our insurance is current" into something you can see at a glance.
Finding and reading
Documents are grouped by category, with your pinned files up top. Open one to read it — PDFs and images preview right in the page; other types download. Every link is private and short-lived: files live in secure, church-only storage and are never on a public web address, so a link can't be forwarded to give someone lasting access.
Editing, replacing, and removing
- Edit details — fix a title, change the category, add a renewal date, pin or unpin.
- Replace file — swap in a newer version (a re-signed form, an updated certificate) while keeping its title and place on the shelf.
- Delete — sends a document to the Trash, with an Undo in case it was a slip. You can restore from the Trash later, or empty the Trash to remove files for good.
Who can see these
Only your church's admins — never members, and never the public. The vault is for the church's own records and the people who steward them.
